Handling of Personal Information

Compliance with Laws and Regulations

  1. When handling personal information (including personal identification codes and personal information requiring special care; the same applies hereinafter), we will comply with the obligations stipulated in the "Act on the Protection of Personal Information" and other laws, regulations, and administrative guidelines concerning the protection of personal information, as well as this Policy.

Use within the Scope of the Purpose of Use

2. We will handle personal information only within the scope of the purpose of use that has been explicitly stated or publicly announced, except in cases where the purpose of use has been specified as precisely as possible and the individual's prior consent has been obtained, or where such use is permitted as an exception under applicable laws and regulations.

3. We will endeavor to acquire personal information through lawful and fair means. We will publicly announce or notify individuals in advance of necessary information—such as the purpose of use, the scope of joint users, and contact points for inquiries—and, when acquiring personal information directly from an individual via a written document (including electronic records), we will clearly state the purpose of use beforehand. Please note that we may record or make audio recordings of details regarding transactions or inquiries; however, any information obtained in this manner will be handled solely for the purpose of responding appropriately and promptly to the individual's requests.

Personal Information of Minors

4. In cases where we may collect personal information from children under the age of 15, we will exercise special care regarding the handling of such information—for example, by clearly specifying that the information should be provided with the consent of a parent or guardian.

Safety Management Measures

5. We will strive to maintain the personal information entrusted to us in an accurate and up-to-date state within the scope of the purposes of use, and we will implement necessary and appropriate safety management measures—aligned with current technological standards—to protect such information against unauthorized access, alteration, leakage, and the like.

Supervision of Contractors

6. We may entrust the processing of personal information entrusted to us to third parties within the scope of the stated purposes of use. We select such third parties only after confirming that they maintain an adequate level of personal information security, and we exercise necessary and appropriate supervision over them through contracts and other means.

Provision to Third Parties

7. Except where permitted by law as an exception, we will not provide personal information to third parties other than the joint users specified at the time of acquisition without obtaining the individual's consent. Furthermore, we will not provide personal information to third parties using the opt-out system without the individual's knowledge.

Requests for Disclosure, etc.

8. If an individual wishes to request the disclosure, correction, cessation of promotional communications regarding products or services, or deletion of their personal information, we will promptly respond to such a request in accordance with applicable laws and regulations, after verifying the individual's identity.

Handling of Complaints

9. We will promptly and appropriately address complaints from individuals regarding the personal information we handle and will establish an internal system for doing so.

Anonymously Processed Information and Pseudonymously Processed Information

10. When handling anonymously processed information (personal data obtained by processing personal information so that specific individuals cannot be identified) and pseudonymously processed information (information regarding individuals obtained by processing personal information so that specific individuals cannot be identified without cross-referencing it with other information), we will comply with the obligations stipulated in applicable laws, regulations, and administrative guidelines, as well as this Policy.

Continuous Improvement of Internal Systems

11. To ensure the proper handling of personal information entrusted to us, we strive to continuously strengthen and improve our internal systems—including reviewing this Policy—through measures such as establishing internal regulations, conducting employee training, and performing appropriate internal audits.

Procedures for Amending This Policy

12. We may amend this Policy as necessary. In such cases, we will announce the effective date and content of the amended Policy on our website or through other appropriate means, or otherwise notify the individual concerned. However, if an amendment requires the individual's consent under applicable laws and regulations, the amended Policy shall apply only to those individuals who have consented to the amendment.

In accordance with the Act on the Protection of Personal Information, we are publishing the following information regarding the personal information we handle; we kindly ask you to review the details provided below.

1. Purposes of Use of Personal Information Acquired by the Company

(1) Regarding customers' personal information, the information will be used as necessary for the following purposes (1 through 5) related to the provision of services, such as providing information to customers:

1 Sale of products and provision of services
2 Conducting surveys and responding to campaign applicants
3 Advertising, publicity, and sales promotion activities (we may send information regarding products, services, exhibitions, and various events via email, direct mail, etc.)
4 Customer support, including responding to inquiries (including use for registration, identity verification, emergency contact, etc.)

5 Preparation of statistical data to serve as a reference for future product development and sales activities

(2) Regarding personal information concerning business partners and other stakeholders: communicating with such stakeholders and providing them with company information

(3) Regarding personal information concerning applicants for recruitment: communicating with and providing information to applicants, and other uses necessary for recruitment activities

(4) Regarding personal information concerning employees (including former employees and prospective employees): business communications, payment of remuneration, etc., administration of personnel and labor affairs, provision of employee benefits, health management, personnel policy planning, risk management related to employees, and other uses necessary for personnel and labor management

In addition to the purposes stated above, the Company may use personal information within the scope of purposes notified, clearly indicated, or publicly announced in accordance with methods prescribed by law.

2. Matters Concerning Retained Personal Data Handled by the Company

A flat fee of 600 yen (tax included) applies to requests for disclosure, etc., and is payable at the time of application. Responses will be sent in writing via "restricted delivery mail" (mail deliverable only to the addressee).

(4) Matters concerning the security management of "Retained Personal Data" (hereinafter referred to in this section as "Personal Data")
We take necessary and appropriate security management measures to ensure the prevention of leakage, loss, or damage regarding Personal Data. Furthermore, we exercise necessary and appropriate supervision over employees and contractors (including sub-contractors) who handle Personal Data. While specific details regarding security management measures for Personal Data are stipulated separately in our regulations on personal information management, we generally implement the following measures:

① To ensure the proper handling of Personal Data, we have formulated a basic policy covering matters such as "compliance with relevant laws, regulations, and guidelines" and "points of contact for inquiries and complaints."

(Establishment of Rules for Handling Personal Data)
① We have formulated manuals for the handling of Personal Data that define handling procedures, responsible persons and staff in charge, and their respective duties for each stage of the process, including acquisition, use, storage, provision, and deletion/disposal.

(Organizational Security Control Measures)
1 We have appointed a person responsible for the handling of personal data, clarified which employees handle personal data and the scope of the data they handle, and established a reporting and communication system to ensure the responsible person is notified upon the discovery of any facts or indications of violations of laws, regulations, or internal handling rules.
2 We conduct periodic self-assessments regarding the status of personal data handling, as well as audits by other departments or external parties.

(Personnel Security Control Measures)
1 We provide regular training to employees regarding important points to observe when handling personal data.
2 We include provisions regarding the confidentiality of personal data in our employment regulations.

(Physical Security Control Measures)
① In areas where personal data is handled, we manage the entry and exit of personnel and restrict the equipment and other items brought into the area; we also implement measures to prevent unauthorized persons from viewing personal data.
② We take measures to prevent the theft or loss of equipment, electronic media, documents, and the like that contain personal data; furthermore, when transporting such items—including moving them within our business premises—we implement measures to ensure that the personal data contained therein is not easily exposed.

(Technical Security Control Measures)
① We implement access controls to limit the personnel authorized to access data and the scope of the personal information databases they handle.
② We have implemented systems to protect information systems that handle personal data against unauthorized external access and malicious software.

(5) Contact Point for Complaints and Inquiries Regarding Retained Personal Data
Complaints and inquiries regarding personal data retained by the Company are handled by the contact point specified in (3) above.

3. Matters Concerning the Opt-out System for Provision to Third Parties

We do not use the opt-out system to provide personal information to third parties without the individual's knowledge.

 


4. Matters Concerning Joint Use

(1) We and the group companies of StylingLife Holdings Inc. (hereinafter referred to as the "StylingLife Group") may jointly use personal data within the StylingLife Group as described below, for the purpose of carrying out integrated management and administrative operations.
